September 2012 – Department Manager Meeting Minutes

September 25, 2012 

Attendance: Brent Thompson, Randy Ulseth, Erik Olson, Myrna Sampson, Stacey Heins, Kris Bombard, Kim Carlson, Ellen Ryan, Diane Bankers, Dawn Plested, David Amundson, Karen Renaud, Sue Belford, Bob Woods.

Absent: Jo DeFeyter, Katie Kerr, Mark Vizenor, Pat Runquist

GROWTH/HOSPITAL BOARD UPDATE – Randy Ulseth

  • An MHA video was shown to the Board members on Maintaining Leadership.
  • Inpatient and Clinic patient experiences were reviewed by Ellen.
  • Discussion on Charity Care policy and procedure with comparisons from other Minnesota Healthcare providers. Review of charity care and bad debt expenses over the last five years.
  • Attorney General Agreement and compliance requirements were reviewed.
  • Discussion on Optometry Clinic Business.

FINANCIAL UPDATE – David Amundson

  • David reported on the August financials. The month had increased volumes and admissions were strong. Operating expenses continue to be on budget. Overall, we have done well the first 8 months of 2012.
  • Budget information will be distributed the middle of October. Same format as last year.

EDUCATION BUDGET DISCUSSION– Kim Carlson

  • Discussion was held on what our philosophy and goals are when it comes to education for employees. What is best for our organization? More discussion and planning will occur at the October manager meeting. Education request forms will also be reviewed.

COMMUNICATIONS/PATIENT EXPERIENCE UPDATE – Dawn Plested

Dawn updated the managers on:

  • Community walk – September 29th 8:30 a.m.
  • Health Event – Thursday, October 25th
  • Newsletter will be out to the public the 2nd week of October
  • Dr. Lagaard – Orthopedic seminar – Thursday, September 27
  • Focus groups will start meeting on October 2nd

BIKE PARKING/CLINIC PROVIDER SCHEDULE – Erik Olson

  • Discussion was held on bike parking outside the hospital/clinic. Erik will visit with Mark Vizenor and an update will be given at the October meeting.
  • Discussion was held on updates that are made to the clinic provider schedule. It was decided that any clinic provider/specialist changes that are made to the Provider schedule will be made by Kris Radeke and she will update the schedule in the public folder.

ANNUAL EDUCATION DISCUSSION

  • Discussion on the annual education requirements for employees. Kim and Ellen will meet and bring information to the October manager meeting.

OTHER

  • Radiologist schedule is changing the second week in October. Mammography and Dexascan schedule is also changing.
  • Joint Commission recognized FirstLight Health System as a Top Performer in the patient areas of pneumonia care and surgery care. We are one of only 11 hospitals in MN to receive this award. Way to go!!!
  • Wellness First is now fully staffed and are working on a grant application that would focus on strategic planning.
  • Sandy Sherman is retiring in October – we wish her well.
  • Kim provided an update from the conference she attended. Next month she will be distribute the book “Hardwiring Excellence: Purpose, Worthwhile Work, Making a Difference” by Quint Studer as part of the manager education that was discussed at the retreat held in March.
  • Bob Woods provided an update on the visit by Kelsey Hultman, second year resident.
  • Wellness First marketing campaign is underway.
  • A Retirement Planning guide has been developed by the Star Light Committee.
  • FirstLight Health System is hosting the Region D MHIMA meeting on October 26th.
  • Rehab manager position has not yet been filled.
  • State trauma review board was here on September 11th – we received a good report on our improvements.
